Privacy Policy
LuxeVault HQ is a private family management app, offered as a subscription through luxevaulthq.com. This policy explains what information the app collects, how it's used, and how it's protected. Each family's space is private to that family — access is limited to the members a family invites.
Information we collect
Account information. When you sign in with Google, we receive your name, email address, and profile photo from Google to create your account and identify you within your family's space. Children can join with a family code created by their parent — no email address is required for a child's account.
Financial information. If you connect a bank account through Plaid, we receive transaction data (merchant, amount, date, category) and account balances from your financial institution. We never receive or store your bank login credentials — those are handled entirely by Plaid.
Billing information. Subscriptions are purchased on our website and processed by Stripe. Stripe handles your card details; we never see or store your full card number — we receive only your subscription status and billing contact details.
Family and household content you provide, including:
- Bills, budgets, and spending entries
- Calendar events and family schedules
- Chores and to-do/grocery lists
- Documents you upload to the Vault (e.g., insurance cards, IDs, medical records, school forms), including any expiration dates
- Notes, photos, and recipient details for Grace Notes (thank-you notes and cards)
- Voice recordings you submit to Brain Dump (converted to text, then discarded — see below)
- Photos submitted for AI gift identification or document scanning
- Emails (and their attachments) that you choose to forward to your family's private LuxeVault intake address, so the app can turn them into bills, events, and tasks
- School schedules, classes, and assignments that you or your kids enter or scan into the school planner
- A general location for your household (used to show your local weather), if you provide or allow it
Usage data. Basic technical data (device type, app version, error logs) to keep the app working correctly.
How we use your information
We use your information solely to operate LuxeVault HQ for your family: displaying your bills and calendar, syncing data across your family's devices, generating AI-assisted features (daily briefings, budgeting recommendations, document tagging, calendar import from screenshots), and sending Grace Notes on your behalf when you choose to send one.
We do not sell your data. We do not use your family's data to train AI models. We do not share your data with third parties for advertising.
Third-party services we use
To provide the app's features, the following services process data on our behalf, under their own privacy and security terms:
- Google Firebase (Google LLC) — authentication, database, file storage, and backend hosting
- Plaid Inc. — secure bank account connection and transaction data, only if you choose to connect a bank
- Anthropic (Claude AI) — powers the Daily Briefing, budgeting recommendations, "What Am I Forgetting?", gift/document identification, and Grace Notes drafting. Only the specific facts needed for each feature are sent (e.g., bill names and amounts, not your full account) — never login credentials
- OpenAI — transcribes voice recordings submitted to Brain Dump into text; voice audio is not retained after transcription
- Resend — delivers Grace Notes emails you choose to send
- Stripe — processes subscription payments made on our website; your card details go to Stripe, not to us
- Lob — prints and mails physical Grace Notes cards, only when you choose to mail one; the recipient's name and mailing address are shared with Lob for that card only
- Cloudflare — routes emails forwarded to your family's private intake address to our systems
- Open-Meteo — provides local weather using your household's general location; no account or family data is sent
Data access within your family
LuxeVault HQ separates each family's data completely — no other family can see your information. Within your own family, financial data (bills, bank feed, spending, and full financial picture) and the Document Vault are visible only to members marked as parents/guardians. Children's accounts see calendars, chores, and lists appropriate to their role.
Data retention and deletion
Your data is retained as long as your family account is active. You can delete your own account and access at any time from within the app (Family Members → Delete my account). Voice recordings sent to Brain Dump are transcribed and not stored as audio.
Children's privacy
LuxeVault HQ is a family-management tool used by parents/guardians to organize household life, which may include creating accounts for their own children under their supervision. We do not knowingly collect information directly from children outside of this parent-managed context, and do not permit children's accounts to access financial or document data.
Security
Data is encrypted in transit and at rest through our infrastructure providers. Access to each family's data is restricted to that family's authenticated members, enforced by deny-by-default database rules — verified against the live application in July 2026. App-integrity screening (Firebase App Check) and automated dependency monitoring add further layers. Bank credentials are never seen or stored by LuxeVault HQ — Plaid handles that connection directly with your bank. Changes to this policy
We may update this policy as the app evolves. Material changes will be communicated to family members within the app.
